The below information is intended to assist clients and venue hirers understand the protocols and requirements that will be in place at our venue while New Zealand navigates our way through the Covid-19 pandemic. Information on this page is intended only for clients and hirers.

EFS has put in place numerous actions to assist both staff and visitors to be able to visit our venue safely and to avoid the spread of COVID-19. These actions are being reviewed weekly as we understand we may need to adapt what we are doing and how we are doing it based on government requirements as well as meeting the changing needs of our guests and hirers.
For Our Visitors
It must be noted that these entry and exit points may vary from event to event and therefore examples only have been outlined in the EFS floor plan (refer to appendix 8.0).
Cleaning Schedule
Eventfinda Stadium works closely with both internal cleaning staff and external cleaning companies. The cleaning requirements of any daily use or event held within the stadium is assessed based on the number of rooms used, types of rooms used and type of venue use and either internal or external cleaning teams are booked accordingly. Regardless of the cleaning team being used, all cleaners will need to follow Eventfinda Stadium cleaning requirements. Outlined below are general areas of focus in regards to cleaning in the venue. A more detailed cleaning scheduled will be provided to our staff (refer to cleaning schedules in appendix 4.0-4.3).
1) Eventfinda Stadium Cleaning Schedule – During the Day (Non-Event)
This schedule is to be used by any cleaning staff assigned to work at the stadium whilst the stadium is open to the public but not hosting an event.
2) Eventfinda Stadium Cleaning Schedule – End of Day (Non-Event)
This schedule is to be used by any cleaning staff assigned to work at the stadium to complete all end of day cleaning requirements after all members of the public have exited the venue and is closed for use. This scheduled is to be used on days when no events have been hosted.
3) Eventfinda Stadium Cleaning Schedule – During the Day (Event)
This schedule is to be used by any cleaning staff assigned to work at the stadium whilst the stadium is open to the public and hosting an event.
4) Eventfinda Stadium Cleaning Schedule – End of Day (Event)
This schedule is to be used by any cleaning staff assigned to work at the stadium to complete all end of day cleaning requirements after all members of the public have exited the venue and is closed for use. This schedule is to be used on days when an event has been hosted.

Risk Assessments
A risk assessment will be produced for every event held within EFS. Our team build and edit these risk assessments during the planning stages of an event. These risk assessments will of course reference any risks associated with COVID-19. However, it must be acknowledged that the situation within Auckland and New Zealand can change at any time surrounding restrictions, outbreaks or health risks and therefore our risk assessments will be updated frequently. As per our risk assessment terms and conditions, any risk assessment supersedes all other risk assessments dated prior.
Hirer & Venue Responsibilities
All responsibilities below are in addition to all venue hire agreement terms and conditions.
EFS is working hard to ensure we are doing everything we practically can to operate safely in alert level 2. The community and our staff are our top priority so that means working together with our community to make this happen. All of our hirers and users of the stadium have varying needs so we have done our best to adapt our new policies and procedures, so the expectations are realistic and achievable for everyone.
EFS will supply hirers or hirer representatives with a risk assessment 1 week prior to the event unless requested earlier.
Our sales and marketing team will communicate all operational changes as a result of COVID-19 to hirers during the booking and sales processes. Our events team will then ensure there is full transparency and clarity between hirer and venue in regards to the procedures that must take place due to COVID-19. This document will also be made available to all hirers.
If EFS believes any staff or members of the community/visitors to the stadium are being put directly at risk of COVID-19 or any other situation that may cause harm, we have the authority to stop any event immediately from taking place either before or during the event. Refer to full venue hire agreement terms and conditions when booking your event.
Navigating our way through the COVID-19 situation is a shared journey for all New Zealander’s and therefore a shared responsibility. We ask that all hirers share the responsibility of implementing all policies and procedures as required by EFS.
As per our previous policies, hirers are still required to supply ticketing staff including box office and scanning staff and at least one EFS staff member is still required to be in the box office during event hours.
It is the hirers responsibility and cost to provide their own PPE for any of their event staff in line with EFS PPE requirements.
EFS has introduced new entry procedures for all persons entering the stadium. These procedures may differ slightly depending on the use of the venue on that day and all variances are detailed below.
All persons entering the venue through EFS are required to register their details in one of our contact tracing platforms. It is in the best interest for all hirers, visitors and staff to abide by this as safety is EFS’s number one priority and any person/s that fail to register their details will be refused entry. This is not negotiable.
EFS has a combination of spaces that contribute to the overall building. Some of these spaces are isolated from others and are leased by other parties. We see those with these leases to EFS as being the PCBU of their own space. These isolated spaces are to be regulated by the lessee under their own management plans and therefore these spaces do not fall within the frameworks in this management plan. EFS will support these lessees but is not liable or responsible for any use of these leased spaces.
Eventfinda Stadium’s exclusive ticketing agent is Eventfinda. Eventfinda is the platform that will be used for all entry procedures with the exception of non-event visitors to the venue.
All event visitors are required to follow the below procedures.
All non-event visitors will not have Eventfinda entry passes and will need to follow procedures that differ to the above. Non-event visitors may include members, contractors, walk in visitors and product delivery persons.
Systems
EFS will be using a combination of systems to collect visitor and staff data in order to ensure we are receiving accurate and live data whilst reducing any traffic jams during entry. We acknowledge that this may be some what of a trial and error process as we introduce these new procedures. However, we are confident in the approach we have taken and the system that we will be using.

Eventfinda
Eventfinda is our core ticketing agent and this is the system that will be used for all event ticketing and contact tracing. Eventfinda allows hirers to advertise their events, sell tickets and track and trace all purchaser information. It is the hirer/hirer representative’s responsibility to work directly with the Eventfinda team to get their event loaded into the system and live for ticket purchase.
The event owner cannot see all contact information of purchases unless authorised by Eventfinda in line with the privacy act requirements.
During our COVID-19 operations, each ticket will have to have customer information attached. One contact person cannot purchase multiple tickets without allocating names and contact details to each individual ticket. This will be programmed within the Eventfinda system.
Eventfinda Stadium COVID-19 Registration Form
This form is an online form on our website and will be used to track visitor details for those who are not attending an Eventfinda ticketed event or using our courts for sporting use. We have many people come in and out of our stadium on a daily basis such as contractors, suppliers, couriers and general public. In order to accurately capture the information of these visitors. This form can be used as a quick and easy method for collecting the information required for contract tracing purposes. This form is available on this website and is optimised for mobile display.
The privacy of all our staff, hirers and visitors of the venue is extremely important and the information collected through the above tools serves as a contract tracing method for COVID-19 first and foremost. Eventfinda will only disclose information collected when required in line with their privacy policies. Information collected via the Deputy app for staff tracking, our website registration form or Gym Master for our members will only be disclosed to the necessary government department as and when requested for COVID-19 contact tracing purposes only.

It is everyone’s responsibility to work together as a community and as a nation to protect one another from COVID-19.
Although EFS has put in place processes to control the number of persons in the venue at one time as well as record all staff and visitor information for contact tracing, it can be difficult to identify if a person/s in the venue is carrying COVID-19. Therefore, EFS asks that all hirers, visitors and staff that are entering the venue follow all New Zealand government guidelines including staying home if you are experiencing any symptoms or have come into close contact with a suspected COVID-19 carrier.
EFS has the authority to request any persons to leave site if EFS staff believe they pose any health risk to others in the venue. EFS staff are to follow the below eviction process:
